1. Who we are
Vortiq ("we", "us") provides an AI accountability coaching service that calls you at a time you choose. We are the data controller for the personal data described in this policy and we process it in line with the UK GDPR and the Data Protection Act 2018. You can reach us at privacy@vortiq.app.
2. Data we collect
- Account data: name, email address and authentication identifiers (including Google sign-in).
- Contact data: the phone number used for your coaching calls.
- Coaching data: goals, obstacles, commitments, call summaries and call outcomes.
- Scheduling data: your chosen call times and daily call preferences.
- Technical data: device, browser and log data needed to keep the service secure.
3. Why we use it and our lawful bases
- To deliver the coaching service you sign up for — performance of a contract.
- To keep accounts secure and prevent abuse — legitimate interests.
- To place coaching calls to your number — performance of a contract and your consent.
- To use optional analytics cookies — your consent, which you can withdraw at any time.
4. Cookies and similar technologies (PECR)
We set strictly necessary cookies and local storage to keep you signed in and to secure your session. Under PECR these do not require consent, and they remain active even if you reject optional cookies — otherwise sign-in would not work. Any non-essential analytics or marketing cookies are only set after you press "Accept" on our cookie banner. Pressing "Reject" stores your preference and leaves all non-essential technologies disabled. You can change your mind at any time by clearing site data in your browser.
5. Sharing your data
We share data with processors who help us run the service: our cloud database and authentication provider, our telephony and AI voice provider, and our workflow automation provider. They act on our instructions under written contracts and may not use your data for their own purposes. Where data leaves the UK or EEA, we rely on appropriate safeguards such as the UK International Data Transfer Addendum.
6. Retention
We keep account and coaching data for as long as your account is active, and for up to 12 months afterwards, unless we must keep it longer to meet a legal obligation. You can ask us to delete it sooner.
7. Your rights
You have the right to access, correct, erase, restrict or object to our processing of your data, to data portability, and to withdraw consent at any time. Contact privacy@vortiq.app and we will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
8. Changes
If we make material changes to this policy we will let you know in the app or by email before they take effect.
